PART A

Prepare a 1-2 page project proposal that provides the background on your selected client organization, a summary of the project, and a project timeline.

Familiarity with the basic concepts of change management and the learning organization, and developing an awareness of your own individual values and vision, is important to your growth as a change agent and leader. Throughout this course, you will build on your understanding of these basic concepts and skills as you integrate them into your work.

Before you begin your first of the series of five assessments that comprise the course project-a project that is the core of this course-read the document to understand the scope of the project and its requirements.

As a part of your course project, you will be expected to engage with an outside group or a real-life team from your workplace, a place of worship, or a civic group, of at least four people. As you choose your client organization, be aware that you will be asked to think about and make recommendations to this team’s larger organization. If you have not yet done so, read the document to understand the scope of this project and your assessment requirements.

Your project proposal is the first deliverable you will provide for your client so they can understand the goal and purpose of the project and the scope of your work with them. Your project proposal should have these sections:

  • Project Objective.
    • Provide a clear and succinct statement of the project objective.
  • Background of Organization.
    • Identify the main contact and the role of that contact in the organization and for the change project.
    • Include a brief history of the client organization, what they do, and why they are in need of change management support.
  • Project Summary.
    • Describe your project. What is the change needed?
    • Outline the scope of your project and what you will be doing for the client.
    • Identify stakeholders and sponsors.
    • State goals and objectives.
  • Project Timeline.
    • Explain how you will be meeting with your client organization.
    • Identify how often you will be meeting with your client.
    • Create a timeline that you can provide for your client so they will understand what’s going to happen.

  • Prepare a 3-5 page project approach and plan that explains the purpose and discipline of change management and the characteristics of a learning organization, define the goals and objectives, and describes the selected model to be used for the project.

    Individual and organizational frames of reference, also known as mental models, are the assumptions and beliefs embedded in our language that determine what we see and how we explain how things work. Although in our speech mental models may be unconscious, they influence decisions and actions. It is important to examine methods for reflection and inquiry that help bring mental models to the surface. A team can then examine and choose its language in order to operate in a more open and integrated way.Change leaders must also understand the dynamics of change and develop strategies for building a shared vision as a conduit for shared meaning and to develop facilitation skills. Creating shared meaning and supporting the relationship between employee engagement and enterprise sustainability allows people to believe they are part of a common entity, that they are participating in a community, and that they have the power to determine their destinies. By creating a shared vision, they decide what is important and why. By clarifying, they propel themselves into the future of the image they hold.

    The purpose of this assessment is to prepare your plan on how you will work with your client organization and the approach you will use to inform them about the change management strategy. This assessment gives you an opportunity to organize your notes from your conversations with the client organization (and feedback on your project proposal) into a document that clearly explains to the client what they are to expect from you as their change management consultant. The primary audience for your CM Strategy: Project Approach and Plan assessment is your sponsors and your key contact.

    Prepare a detailed project approach and plan that explains the change management goals and objectives, the approach, and tools you will use, and how you will complete the work. Your assessment should have the following sections. Make sure you support your writing using information from any resources you have reviewed and research you have conducted.

    • Project Plan.
      • Outline a plan that conveys how the work will be completed.
        • Build upon the initial timeline you provided in your Project Proposal and update it with meetings that you have scheduled and project deliverables you will be preparing for the client organization.

      PART C

    • Prepare a 2-3 page report that explains the stakeholder analysis, illustrates a change diagram or model, analyzes the organization’s culture and climate for change, and assesses the organization’s readiness for change.

      Team learning and how it can contribute to a team functioning in alignment and as a whole enterprise is a key concept in change management. Team learning helps a team sustain and reinforce its learning and increases the capacity to act synergistically and master how to learn.Learning teams must understand how to skillfully dialogue, increase their ability to problem solve, create new knowledge, deliberate, and build relationships with other teams and customers. Learning teams develop ground rules for truth-telling, time usage, decision-making processes, and domains, and create a safe conversational environment that allows a team to take risks, make mistakes, forgive, and recover.

      The purpose of this assessment is to conduct discovery to understand the stakeholders and the organization and identify themes from your discovery activities. You will utilize methodologies from your selected change model to complete discovery.

      Because this assessment is dependent on the information you gather through stakeholder analysis and examination of artifacts, you should schedule time with your contact person at the client organization. Explain the activities and tasks with which you will be engaging and make the necessary arrangements. You may wish to refer to these readings to help you with this assessment:

      Complete the following for your stakeholder analysis and findings report. Support your writing with information from your course readings and other research you’ve conducted.

      • Prepare a 5-8 page recommendation for intervention and adoption strategies, including metrics to track adoption.

        Systems thinking points out cycles of cause and effect. A paradox with systems thinking is that it is frequently counterintuitive. An example is the more you strive, the more you undermine your chances. Learning teams can use systems thinking as a problem-solving tool, but it has the most effect on how teams think about complex issues. It is important for you to become familiar with causal loop diagram archetypes, which allow us to talk about the interrelationship and feedback process and help diagnose systems that produce growth, decline, or equilibrium. By learning about systems thinking, teams can align their common understanding and collaborate to establish strategies for their business dilemmas.

        The purpose of this assessment is to make recommendations for your client organization on its change management strategy. Your recommendation should include intervention strategies, an explanation of how to reinforce the change, and the metrics that will be used to track adoption. Remember that your CM Strategy: Recommendations for Intervention and Adoption Strategies should be complete and comprehensive so that after you leave, the client organization would know how to execute the strategy.

        Review your previous assessments and the resources you have explored to help you make recommendations for your client organization. Your recommendations should result from collaboration and output from working with your client. Make sure you have solicited their input and feedback and incorporated them in your final recommendations.

        Prepare a report that addresses the items below. Make sure you support your writing using information from your readings and research.

        • Recommend intervention strategies that align with the findings and stakeholder analysis.
          • Include intervention strategies that connect with the themes and issues from the discovery findings.
          • Explain how and why the intervention strategies will support the change. Include relevant information from your readings and research to show that the intervention is appropriate for managing the change.
        • Recommend reinforcement strategies to support adoption and behavior change.
          • Reinforcement strategies to support the adoption should be aligned with the interventions and the desired new behavior.
          • Explain how the reinforcement strategies are the appropriate ones to support the change.
        • Recommend metrics to track the adoption of the change.
          • Identify metrics that will indicate whether the intervention strategies are working or not. For example, if your project was about implementing a diversity and inclusion program, a metric could be the number of employees attending “Lunch and Learn” events, or the number of people completing a diversity and inclusion online learning course.
          • Explain how you would collect the data to gain insight into the adoption of the desired behavior change.

          Effective change leaders are familiar with traditional organization development theory and systems thinking currently being used in large group settings. The idea that a community needs to become dissatisfied with its current state, visualize a preferred future, and initiate the first steps to overcome the resistance to change is a powerful moving force.

          In this assessment, you will create a presentation that captures the main points from the stakeholder analysis, findings, recommendations, and adoption strategies. Your presentation should be designed with appropriate visuals and text on slides that could be delivered to a live audience. Potentially your presentation, or an adaptation thereof, could be used in a live presentation in a context outside this course, where a talk on change management principles would be useful.

          • Review your assessments and the feedback you received.
          • Review to help you create a professional presentation.

          Use a presentation tool of your choice, such as PowerPoint, Google Slides, Prezi, et cetera, to complete the following:

          • Create a presentation that highlights the change management strategy.
            • Include stakeholder analysis, findings, recommendations, and adoption strategies.
            • Structure the presentation in an easy-to-understand sequence.
            • Include detailed speaker notes of what you will say when you deliver the presentation to your client.
          • Create a presentation that is professional and appropriate for the targeted audience.
            • Ensure the presentation uses appropriate visuals and follows presentation best practices.

          • Document format: Include title and reference slides. Also include detailed speaker’s notes.
          • References: Include complete APA citations of any sources you use. Review for more information on how to cite your sources.
          • Length: 8-10 slides, not including the title slide and reference slide.
          • Font and spacing: Use font size and type appropriate for a business audience.
          • Writing: Writing should be well organized and clear, with correct spelling and grammar.
